City launches new festival and event application process

The City of Medicine Hat has introduced a new and festival and event application process beginning in 2026, developed directly from feedback provided by event organizers. The new process is designed to make planning and hosting new and returning events easier, clearer, and more efficient for organizers.

The need for change was illuminated by valuable feedback provided by event organizers as they worked through the previous application process over the past several years. While organizers continually delivered successful events, they shared that they often encountered a process which was hard to navigate while also receiving limited support, disorganized communication, and unclear next steps.

The City’s new festival and event application process includes three key improvements which provide a more coordinated, transparent, and supportive approach. Learn more on each of these improvements below:

A more streamlined experience
The new application system consolidates multiple steps into a single, user-friendly process. Event organizers will now be able to submit all required information through one coordinated intake, reducing duplication and minimizing delays. The streamlined workflow ensures that applications move smoothly through review, approvals, and permitting.

Improved communication and transparency
A key focus of the updated process is stronger communication between the City and event organizers. Applicants will receive clearer timelines, consistent updates, and better visibility into where their application is in the review process. This improved transparency helps organizers plan with confidence and reduces uncertainty during the lead-up to their event.

Dedicated event liaisons
The City will provide dedicated event liaisons to support organizers to further enhance their experience. These staff members will serve as a primary point of contact for organizers, answering questions, helping navigate requirements, and ensuring that each event receives the guidance it needs from start to finish. Event liaisons will also help coordinate communication across City departments, making the process more cohesive and responsive. The level of liaison involvement may vary based on the scale of the event.
